4. Team, shared, and rotation roles

Under Grant roles, configure the roles granted when an entry is accepted. Select shared roles and rotation roles on this screen.

Create a team role for each entry

The BOT always creates one dedicated team role per entry and grants it to every participant. Change its name in the Role name field. The role-name template supports {teamname}.

The role-name template can contain up to 100 characters. After replacing {teamname}, the BOT adjusts the generated name to fit Discord’s 100-character limit.

For a team named Sample Team, the visible name becomes Sample Team様.

Relationship with the category

The dedicated team role is used for access to the category and its channels, the entry list, and the Replay Analyzer Register Now integration.

Shared roles

Every selected role is granted to every participant in every accepted entry.

You can select up to five shared roles.

Common uses include:

  • Entered
  • Tournament Participant
  • Registration Complete

Rotation roles

Use Distribute roles per member, below the role selectors, to choose how roles are assigned.

Rotate roles per entry (OFF)

One selected role is granted per entry, cycling through the selected order. Every participant in that entry receives the same selected role.

The next position is stored per panel and updated with locking so simultaneous entries do not take the same position. If role grants or channel creation fail and the entry is not completed, its rotation role is returned to a retry queue and used by a later entry. The panel card shows the next rotation role, including any role waiting to be retried.

Distribute roles per member

When ON, select exactly one distinct role for each member under Roles granted one by one on entry. For three members, select three roles. The screen shows “Select exactly 3 roles.” Once that count is reached, additional roles cannot be selected.

  • This setting supports entries of one to 50 members. For 50 members, select 50 distinct roles.
  • Saving is blocked when there are fewer or more selected roles than members.
  • Saving is blocked when shared roles and rotation roles overlap.

The selected roles appear in a numbered list below the selector, in the order they were selected. One role is granted to each participant in that order. The author comes first, followed by mentions; representative entries use mention order only.

With three members and Group A, Group B, Group C selected, the first member receives A, the second B, and the third C. The next entry follows the same order. Shared and dedicated team roles still apply to everyone.

Each entry starts from the first selected role, so the panel card does not show a next role.

Changing the setting

Switching the toggle ON or OFF preserves the selected roles and their order. If enabling the toggle or changing the entry size causes the counts to differ, adjust the selected roles to match the entry size before saving.

Turning the toggle OFF restores rotation per entry. If more than five roles are selected, reduce the selection to five or fewer before saving. Changes apply to future entries and do not change roles already granted.

Duplicate-entry detection

When duplicate entries are disabled, the BOT checks whether participants already have a shared or rotation role. Configure at least one of these roles to reject duplicate entries.

Entry deletion

Deleting an entry removes its shared and rotation roles from that team’s participants. Take care when using the same roles for purposes outside Register Now.
